HOW TO GET YOUR CONSULTATIONS CONFIRMED FASTER
One challenge I had with inquires via email was it sometimes felt like a back of forth of many different emails to the potential client to get a meeting confirmed.
Some emails would go something like this:
Couple: Hello, my name is Nini, I would like to find out more about your services for my wedding next year.
Me: Hello Nini, congratulations on your engagement and thank you so much for reaching us to RAE Affairs. This must be an exciting time, what’s your fiancé’s name? We will love to talk with you about your wedding vision, please let us know a good time for you to talk. Thank you.
Couple: Thank you for the response Shile, my fiancé's name is Josh, I am available to talk anytime from 3pm-6pm on Thursday.
Me: Thank you for the feedback Nini it is great hearing from you, unfortunately, Thursday won’t work because we have a food tasting at that time. Does anytime on Friday or Saturday work for you? I am pretty open and flexible for both days. I will look forward to your feedback. Thank you.
Couple: Thanks Shile, sorry those dates don’t work for me because I am out of town this weekend for a friend's birthday. Please let me know if another day works.
Me: On nice, I hope you have a great time at the celebration. Maybe we can try next week, I am available between 9-7 on Monday-Wednesday and 4-7 on Thursday and Friday. I hope one of those times works for you.
Couple: Great, let’s do Monday at 10:00am. How long do the consultations typically last and will you be sharing the package and proposal before the call?
Me: Awesome, I am glad we have a date and time that works. I will send you a calendar invite to confirm this. The consultations typically last for an hour or less and yes, I will share the proposal details with you on the call. I look forward to connecting with you soon and hearing all about the vision for your special day.
Phewwwwwwwww if you ask me that was a long exchange just to confirm one meeting and honestly it sometimes sends a wrong message to a potential client that you do not have time to plan their wedding if it took so many email conversations just to confirm one meeting.
All of this changed when I got a Calendly account. Calendly is your hub for scheduling meetings professionally and efficiently, eliminating the hassle of back-and-forth emails so you can get back to work.
Here is how the conversation now goes since having Calendly integrated to set up my meetings.
Couple: Hello, my name is Nini, I would like to find out more about your services for my wedding next year.
Me: Hello Nini, congratulations on your engagement and thank you so much for reaching us to RAE Affairs. This must be an exciting time, what’s your fiancé’s name? We will love to talk with you about your wedding vision, please let us know a good time for you to talk, or for your convenience, you can schedule a time that is most convenient for you on our calendar by using this link. We look forward to talking with you about your special day soon.
Couple: Thank you for the response Shile, my fiancé's name is Josh, we have selected a date on the calendar, we are excited to talk with you too. Thank you.
Just like that, it will be so much easier to schedule your potential clients and get more consultations confirmed. The great thing is you can have this feature on your website as well as on the contact page so couples can book a consultation directly from your site without having to send an email. The important thing to note is to make sure you update every meeting on your calendar, so you don’t end up double booking.
